Precinct Properties Branch

The Office of the Legislative Assembly of Ontario, Precinct Properties Branch (PPB), is responsible for capital projects and the day-to-day operations and maintenance of the historic Legislative building and grounds. PPB is seeking a highly motivated, detail oriented and dependable individual who possesses excellent organizational and administrative skills to join their team as an Administrative Assistant, Operations & Maintenance.

What You’ll Do

You’ll act with integrity to:

  • Demonstrate a high degree of professionalism and independence from political influences
  • Act in conformity with the law and established policies
  • Exhibit the utmost tact, diplomacy and confidentiality at all times

You’ll support our collaboration  as you:

  • Act as the front line for the Branch, while developing positive relationships with internal and external clients and staff
  • Provide regular coverage for the Operations & Maintenance Call Centre, coordinating client requests and creating preventative maintenance work orders
  • Act as a back-up for the Financial Coordinator with various day-to-day financial activities
  • Under the supervision of the Office Supervisor, maintain the Branch’s internal filing system and establish and maintain master logs for the purpose of tracking internal resources (i.e. product catalogue library, etc.)
  • Assist in entering requisitions into PPB software systems and prepare work orders
  • Attend weekly meetings where you will accurately record and distribute meeting minutes
  • Coordinate with vendors to facilitate maintenance of office equipment and management of internal resources
  • Perform daily management of Branch attendance and confidential records
  • Sort and distribute Branch mail, as well as coordinate requests for courier pickups and internal/external printing needs
  • Assist with planning and coordination of PPB events and registrations for workshops and seminars

How You Qualify

You demonstrate excellence through your:

  • Several years of experience as an administrator and proficiency in Microsoft Office applications
  • Ability to effectively communicate and interact both verbally and in written form with a diverse group of internal and external contacts on a daily basis
  • Strong computer skills and ability to learn various in-house software applications
  • Excellent organization, time management and prioritization skills
  • Ability to exercise good judgement and problem-solving techniques
  • Ability to work independently in a fast-paced team environment and coordinate, monitor and provide value-added service to both the Branch and clients
  • Experience working in a Call Centre in a facilities management environment would be considered an asset
